1.0 Position Summary Executes administrative and clerical duties for the CEO and other assigned duties as noted below. 2.0 Reporting Reports to CEO; works 8:00 am to 5:00 pm and on-call as needed. Current FLSA Status: Exempt HR FLSA Status Recommendation: Non-Exempt 3.0 Essential Functions, Job Duties, and Responsibilities (1) Responsible for administrative and clerical duties for the CEO. (2) Manages CEO's calendar and independently schedules appointments. (3) Greets and escorts guests. (4) Screens incoming calls, correspondence, and responds independently when possible. (5) Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget. (6) Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers and monitors compliance. (7) Maintains and pays annual schedule of charitable contributions for CEO and provides year-end reports. (8) Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings. (9) Takes and transcribes dictation and composes and prepares confidential correspondence, reports, and other complex documents. (10) Creates and maintains database and spreadsheet files. (11) Arranges complex and detailed travel plans and itineraries, compiles documents for travelrelated meetings, both domestically and internationally. (12) Submits IT tickets and follows up as required. (13) Purchases corporate gifts. (14) Attends to personal errands of CEO, including hotel, car, and restaurant reservations. (15) Makes service appointments for Wolf-Strategic/Foxfield Farm. (16) Communicates with banking institutions for personal account. (17) Does not back-up anyone. (18) There is no back-up for this position. (19) Performs all other duties or projects as assigned. 4.0 Education and Experience Requirements Bachelor's degree (BA) from four-year college or university; or one to two years related experience; or equivalent combination of education and experience. Page 2 5.0 Minimum Skills, Knowledge, and Ability Requirements (1) Computer sills - Must have minimum of two years' experience with Microsoft Word, Excel, and Quicken. Advanced skills in these would be helpful. (2) Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. (3) Ability to write business correspondence and procedure manuals. (4) Ability to effectively present information and respond to questions from managers, clients, customers, and the general public. (5) Ability to calculate figures and amounts such as discounts, interest, and commissions. (6) Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. (7) Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. (8) Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. 6.0 Work Conditions, Physical and/or Mental Requirements • Sedentary physical activity requiring reaching, lifting, finger dexterity, grasping, feeling, repetitive motions, talking, and hearing. • Visual requirement is for close vision, distance vision, peripheral vision, and ability to adjust focus. • 80% or more time is spent looking directly at a computer. • Employee is frequently required to stand, walk (or otherwise be mobile). • Employee is frequently required to lift andcarry a minimum of 10 pounds. • Ability to deal with stressful situations as they arise. Duties are primarily performed in an office environment. Minimal physical effort is required. Lifting and carrying requirements of up to 15 pounds. Occasional or frequent ability to move boxes from one location to another.
